JOB DESCRIPTION:
The Customer Service Coordinator responds to internal and external customer inquiries regarding rotating equipment quotes. This individual will obtain open quotes lists and follow up with the customer as well as the application engineer supporting the inquiry. This position will require quotes for customer orders and manages customer contracts. Provide customer support and communication on order status. This position will also track parts shortages expedites parts and directs purchase item deliveries, coordinates repair work and acts as the liaison between the customer, sales, vendors, engineering and production departments.
Job Responsibilities:
- Present professionally and competently in all situations, adhering to OTC's mission statement and core values
- Follow up on open quotes, maintain status of quotes within ERP and CRM system
- Present and maintain knowledge of all aspects and options available within our ERP and apply it accordingly to each entry
- Process order entry into ERP
- Acknowledge to the customer the receipt of purchase orders, enter orders into ERP and place orders with vendors, where applicable.
- Add applicable notes to orders, as requested by Operations/Purchasing, for proper Purchase Order follow-up and expediting
- Ensure accurate data entry into ERP during order entry for proper internals department tracking and scheduling
- Extensive knowledge of customer account requirements and special situations
- Adjust and follow through on customer inquiries regarding the quote.
- Gain specialized technical knowledge about our products and applications.
- Present and maintain knowledge of all aspects and options available within CSD(Infor CSD distribution software) and able to apply it accordingly to each opportunity
- Maintain status of quote with Selltis (CRM)
- Gather and provide information to Sales, OPS , Service and management team
- Work cooperatively with other associates; be a Team player. Offer assistance when requested/required.
- Provide trouble-shooting assistance
- Follow up with sales & OPS to ensure that issues are resolved to their satisfaction
- Develop and maintain list of suppliers for goods and services
- Enter and maintain customer sales orders into CSD distribution software system as necessary.
- Gather and provide information to Sales, OPS and Service teams when required and/or requested
- Works with customer to understand need and ensure the appropriate products are quoted.
- Coordinates with Sales Manager to set pricing and develop strategic actions required to win orders
- Negotiates pricing and lead time with vendors as needed
- Works closely with outside sales team to involve Sales Engineers as needed to support customer requests
- Regularly follow up on quotes with customers to ensure they have received the quote and gain feedback.
- Identify potential concerns that customers may have (price, lead time, etc)
- Identify additional potential opportunities.
- Communicate detailed feedback to inside sales rep.
- Provide regular report out to OPS & Sales Manager on status of open quotes.
Education and Experience Requirements:
- Associate Degree or equivalent from two-year College or technical school; or High School Diploma with two (2) years related experience.
- Experience and knowledge of electrical, automation or mechanical distribution.
- Excellent customer relation and problem-solving skills
- Strong verbal, written, and interpersonal communication skills
- Detail oriented, including accurate data entry skills
- Capable of working independently, as well as a team member
- High level office computer skills required. Microsoft Office knowledge a must.
- Interact with co-workers with a positive attitude to maintain a friendly and productive work environment
- A commitment to "doing it right the first time."
- Valid driver's license and satisfactory driving record required.
